How to Build a Reliable Salesforce Sync Pipeline

Salesforce is the most widely used CRM in enterprise sales — and one of the most complex to keep in sync with live operational data. Rate limits, API quirks, and object model complexity all create challenges that a naive sync implementation will hit within days in production.

Understanding the Salesforce API Constraints

Salesforce's REST API limits concurrent API calls and enforces a daily API request limit based on your edition. Exceeding these limits results in errors that silently drop sync events if your pipeline does not handle them correctly.

Any production Salesforce sync architecture must include rate limit awareness, adaptive batching, and exponential backoff with jitter to spread retry load across the API window.

The Conflict Problem

Salesforce is a bi-directional system. Sales reps update records manually. If your sync pipeline blindly overwrites every field on every sync, you will overwrite legitimate manual edits with stale data from your database.

The solution is optimistic concurrency control: before writing a field, compare the current Salesforce value's last-modified timestamp against the timestamp of the event that triggered the sync. If Salesforce's version is newer, skip the field update.

Field Mapping Architecture

Your production database schema and Salesforce's object model will never perfectly align. A robust sync pipeline requires a mapping layer that handles type coercion, null handling, and custom field routing without manual maintenance every time your schema evolves.

Schema auto-detection eliminates the maintenance burden. When a new column appears in your source database, the mapping layer detects it and applies your default routing rules without requiring an engineer to update a configuration file.

Handling Deletes Correctly

When a record is deleted in your source database, the Salesforce record should reflect that change. The question is how: archive the record, mark it inactive, or hard delete it. This is a business logic decision that must be encoded explicitly in your sync configuration — the default behavior should never be a silent no-op.

Dead Letter Queues for Failed Records

No sync pipeline has 100% delivery success. Records fail to sync for reasons ranging from validation errors to API timeouts. A production pipeline must route failed events to a dead letter queue with enough metadata to diagnose the failure, retry the event, or escalate to an engineer.

Without a dead letter queue, silent failures accumulate until someone notices your CRM is out of date and manually investigates.
